CONSTITUTION
1. The club shall be called "YEOVIL TOWN ROAD RUNNING CLUB",
hereafter referred to as the Club and shall be affiliated to
England Athletics or such body as shall succeed it.
2. OBJECTS
To encourage, promote and develop all aspects of running for
men and women of Yeovil and the surrounding area.
3. RULES
In addition to this Constitution, the Club shall have a separate
set of rules ("the Rules")
governing the general running of the Club, such Rules to be
published on the Club website.
4. MEMBERSHIP
Membership is confined to amateurs, as defined by the laws of
England Athletics but
otherwise open to all adult individuals (17+) regardless of age,
gender, race or ability.
Application for membership shall be made on the appropriate
form.
The Committee has an
absolute power of acceptance of membership applications.
The
appropriate membership
fee, determined at the Annual General Meeting of club members,
shall accompany all
applications.
All members will be subject to the regulations of this
Constitution and by joining the Club
will be deemed to accept this Constitution and the Rules.
A copy
of this Constitution will be
published on the Club website.
A notice of resignation from the Club, stating reasons, must be
in writing and shall be
considered by the committee within 14 days of receipt thereof.
Membership shall be held to
have ceased on the actual date of the tendering of the notice,
unless the member be
financially indebted to the Club, in which case the acceptance
may be withheld until the
indebtedness has been met.
5. OFFICERS
The Officers of the club shall be: Chairman, Secretary,
Treasurer; Club Captain, Cross
Country Captain, Ladies Captain; Webmaster, Kit Manager, Social
Secretary; New
Members Representative, Ladies Representative.
Posts to be elected at each Annual General Meeting, and to hold
office until the succeeding
Annual General Meeting.
6. THE COMMITTEE
A Committee shall be formed by the Officers and other elected
members who shall conduct the affairs of the club.
The Committee shall meet at agreed
monthly intervals.
Notice of committee meetings shall be given at least seven days
prior to the meeting, and
should any member of the Committee be absent from four
successive meetings the
committee shall have power to remove that member from office
unless a satisfactory explanation be given.
Four members of the Committee shall form a quorum and the
Committee shall have power to fill any vacancies occurring
between successive Annual General Meetings and appoint any other
committee post as shall be required between Annual General
Meetings. Any such new post is to be confirmed at the next
Annual General Meeting.
The Committee shall have power to appoint a sub-committee, and
to co-opt any person to serve on such subcommittee.
The duties of the Committee shall be:
a) To control the affairs of the Club on behalf of the members.
b) To keep accurate accounts of the finances of the Club through
the Treasurer. The Club shall maintain a bank current account
and cheques will be signed by the Treasurer and countersigned by
the Chairman or Secretary.
c) To make amendments and alterations to the Rules.
d) To make decisions on the basis of a simple majority vote. In
the case of equal votes, the Chairman shall be entitled to an
additional casting vote.
e) To determine annual subscription for members. Subscription
shall become due on 1st May each year.
7. GENERAL MEETINGS
The financial year of the Club shall end on April 30th, and the
Annual General Meeting shall be held at sometime during the
first two months of the following Club year.
Notice convening a General Meeting shall be sent to the members
not less than 7 days before the meeting, and shall specify the
matters to be dealt with.
The business of the Annual General Meeting shall be:
a) To confirm the minutes of the previous Annual General
Meeting.
b) To receive, and, if approved, to adopt a statement of the
Club's accounts from the Treasurer to the end of the preceding
Club year.
c) To consider, and if approved, sanction any duly made
alteration of the Club Rules.
d) To appoint the Officers, and other members of the Committee.
e) To appoint an auditor, or auditors.
f) To deal with any special matter which the Committee desire to
bring before the members, and to receive suggestions from the
members for consideration by the Committee.
Each fully paid member of the Club shall be entitled to one vote
at General Meetings.
Decision made at a General Meeting shall be by a simple majority
vote from those full members attending the meeting. In the event
of equal votes, the Chairperson shall be entitled to an
additional casting vote.
8. EXTRAORDINARY GENERAL MEETINGS
In addition to the Annual General Meeting, an Extraordinary
General Meeting may be convened within 28 days from the receipt
of a requisition in writing, signed by not less than 10 members,
specifying the object of the business for which such an
Extraordinary General Meeting is desired:
a) To consider and, if approved, sanction any duly made
alteration of the Rules.
b) To deal with any special matter which the Committee may
desire to place before the members, including the expulsion of a
member.
c) To receive the resignation of the Committee, or to remove any
Committee member, and fill vacancies caused thereby.
d) To deal with any special matter which the members requiring
the meeting desire to place before the Club.
9. EXPULSION FROM THE CLUB
The Committee shall have the power to expel any member whose
subscription is six months in arrears, provided a months notice
in writing shall have been sent to such member by letter
addressed to their last known address, informing them of the
proposed action of the Committee.
The Committee shall also have power to expel from the Club any
member who for any reason the Committee considers to be unfit
for membership.
10. DISCIPLINE AND APPEALS
All complaints regarding the behaviour of members should be
presented and submitted in writing to the Secretary, unless the
complaint is in relation to the Secretary in which case the
complaint shall be submitted to the Chairman.
The Committee will meet to hear complaints within 28 days of a
complaint being lodged.
The Committee has the power to take appropriate disciplinary
action including the termination of membership.
The outcome of a disciplinary hearing should be notified in
writing to the person who lodged the complaint and the member against whom the complaint was made
within 28 days of the
hearing.
There will be the right of appeal to the Committee following
disciplinary action being
announced. The Committee should consider the appeal within 28
days of the Chairman receiving the appeal.
11. ALTERING THE CONSTITUTION
No alteration or addition to this Constitution shall be made
unless approved by a two thirds
majority at an Annual General Meeting or Extraordinary General
Meeting, and the notice for
that Annual General Meeting or Extraordinary General Meeting has
detailed the proposed
alteration or addition. Any one wishing to have such alteration
or addition proposed shall
give notice to the Secretary at least 7 days prior to such
meeting.
12. DISSOLUTION
If at any Annual General Meeting or Extraordinary General
Meeting of the Club a resolution
is passed calling for the dissolution of the Club, the Secretary
shall immediately convene an
Extraordinary General Meeting of the Club to be held not less
than one month thereafter to
discuss the vote on the resolution.
If at that Extraordinary General Meeting the resolution is
carried by at least two-thirds of the members present at the
meeting, the Committee shall thereupon, or at such date as shall
have been specified in the resolution, proceed to realise the
assets of the Club and discharge all debts and liabilities of
the Club.
After discharging all debts and liabilities of the Club, the
remaining assets shall be given or transferred to some other
voluntary organisation having objects similar to those of the
Club.
RULES
1 The Club shall meet on Tuesday, Thursday and Friday evenings
for training runs. A full programme of Club runs will be
maintained on the Club website where possible.
2. The Club's racing colours shall be a green and white vest
worn with either white and green or black shorts. Any member who
is competing in competition races and does not wear the Club
vest shall be liable to face a fine as under England Athletics
rules. When entering races, members shall complete the entry
form stating "Yeovil Town RRC" as the Club name - any variation
on this may lead to the Club missing out on team prizes.
3. Club runs
3.1 Where possible the Club tries to accommodate runners of all
abilities with the provision of various routes on Club nights
with nominated leaders.
3.2 When running with the Club, follow the instructions of the
designated group leader and/or the set route. If running as part
of a group, take account of other
members of that group to ensure that no-one is left behind,
particularly if running in the dark or in an unfamiliar rural
area.
3.3 When running on the roads, always run in single file and
keep to the right hand side of the road (facing oncoming
traffic) wherever possible, with the exception of right hand
bends - with these, cross to the left hand side well before hand
and then return to the right hand side when safe to do so.
3.4 It is essential that when running with the Club members are
seen to be polite, responsible and set a good example to others.
The Club has a good reputation to uphold.
3.5 Runners are to take responsibility for both themselves and
other road users.
3.6 When running in daylight, always wear bright or light
coloured clothing; when running in the dark, fluorescent or
reflective clothing must be worn and a torch
carried. It is members' responsibility to ensure that they are
dressed appropriately for the running conditions.
3.7 Be aware of common hazards when running through countryside
- livestock, the crossing of stiles and gates, through nettles
and brambles, and the possibility of tick bites.
4. The Club shall not be liable for any injury to a member, or
loss/damage to their personal belongings.
5. Membership of the Club is confined to Amateurs defined by the
England Athletics as follows:
"An amateur is one who has never competed for money prize or
monetary consideration in any athletic sport or game or been in
any way interested in a staked
bet or wager made in connection with the athletic competition in
which he was an entrant or competitor; who has never engaged in,
assisted in or taught any athletic exercise for pecuniary
consideration or in any way exploited his athletic ability for
profit; and who has never taken part in any athletic competition
with anyone who is not an amateur."
6. London Marathon Place
Club is allocated a place or places for the London Marathon and
awarded to Members "in recognition of services to the Club". The
Club place or places to be
awarded by way of a draw made at the Club's annual Christmas
Dinner.
To be eligible for entry into this draw for the allocated club
place(s) Members must:
(a) Be a First Claim member for the Club;
(b) Have a valid rejection slip for the next year's London
Marathon;
(c) Have an entry form that states applicant to be a member of
Yeovil Town Road Running Club;
(d) Any recipient of a Club place shall not be eligible to enter
the draw for the Club place for the following two years;
(c) There is to be an expectation on the recipient of a Club
place to show a commitment to the Club by training and actively
participating with the Club following
the award of the place;
(d) The recipient of a Club place is expected to wear the Club
colours when competing in the Marathon;
(e) Draw will take place at the Christmas Dinner or other date
to be announced by the Committee
(f) Have to have been a Member of Yeovil Town Road Running Club
on or before the date of the previous Annual General Meeting.
